How to create a printable PDF contact sheet
Create a compact visual index of PDF pages, choose a useful thumbnail layout, and add filenames or page numbers for reference.
What a PDF contact sheet is
A contact sheet places small previews of several source pages onto each output page. It acts as a visual index: readers can scan the shape and content of a document without opening every page individually.
The idea comes from photographic proof sheets, but it is also useful for PDFs containing designs, slides, forms, plans, storyboards or scanned records. A caption can identify the source filename, original page number or both.
Choose the layout for the task
Two thumbnails per row provide a larger preview suitable for pages with detailed text. Three per row gives a practical balance for most documents. Four or five per row works as a compact visual index where recognising the overall page is more important than reading its contents.
Portrait paper usually suits portrait documents and ordinary filing. Landscape paper gives more horizontal room and can work well for presentation slides or wide drawings. A4 is common in the UK and many other countries; Letter is common in North America.
Use captions consistently
Page numbers are helpful when the contact sheet refers back to one source PDF. Filenames become important when combining several documents, particularly if each file begins at page one. Showing both creates the clearest reference but uses slightly more space.
Rename source files before creating the sheet if their current names contain temporary codes, private details or unclear download strings. The caption reflects the filename selected from your device.
